Why We Request Summer Contacts for School Deliveries

As schools head into summer break, planning ahead for deliveries, installations, and service work scheduled for July and August becomes especially important. One of the simplest ways to help everything run smoothly is by providing up-to-date summer contact information before the school year ends.

Why Summer Contacts Matter

May and June are high-volume months, with many schools placing orders to get ready for the new school year. A lot of the products placed during this time arrive in our warehouse, ready to go during July and early August.

If we have a summer contact on file, we can coordinate directly during this period and make sure any deliveries that arrive over the break are properly received, staged, and ready in the school. That way, everything is in place and ready to go when staff and students return in the fall.

Without a summer contact, your order would need to be held in our warehouse until the end of August. At that time of year, the high volume of deliveries and installations can make it difficult to guarantee specific delivery timelines, which can add unnecessary stress for schools working to have classrooms ready before the first day back.

How This Helps Schools

Simply put, having a summer contact allows us to support you more effectively. It helps us:

  • Coordinate deliveries and installations during reduced school hours or closures

  • Confirm building access, security, and site details quickly

  • Handle any last-minute scheduling adjustments

  • Ensure products are received and staged properly over the break

  • Reduce delays and avoid end-of-summer bottlenecks

What We Typically Request

To keep things moving smoothly, we may ask for:

  • Primary summer contact name

  • Phone number

  • Email address

  • Backup contact (if available)

  • Any planned office closures or availability windows

This information is only used for scheduling, coordination, and delivery communication.

Planning Ahead Helps Everyone

Providing summer contacts ahead of school closure helps reduce last-minute issues and keeps projects moving efficiently during the busiest part of the year. It ensures deliveries and installations are handled properly, and that spaces are ready when staff and students return.

If you have a project scheduled over the summer, please send us your summer contact details before the school closes. It’s a simple step that helps us support you better and keeps everything on track.
